Sending Payslips by email

Make sure you have completed following session(s)

l   Generate salary records

 

 

Besides of printing payslips with a printer, you can also send it out through e-mail. There are several advantages:

1.      Reduce using paper

2.      Reduce print ink

3.      Reduce print time

4.      Reduce man-power to deliver

5.      Higher privacy

 

To make sure you are suitable to doing in this way, do check carefully below requirements are fulfilled:

 

1.          A SMTP account is available for sending emails. Noted that a SMTP with encryption is NOT supported. To make sure your SMTP account is compatible, use the SMTP testing function to test it.

2.          All of your target employees have their own email account for receiving payslip email. Generally, you are suggested to use personal email account such as Gmail instead of using company account in order to enhance the privacy and accessibility.

3.          MS Excel 2010 or above was installed in the computer which sends out the payslip emails.

 

Follow below steps to generate and email the payslips:

 

1.      Click the [Reporting] button from the main screen toolbar.

 

 

2.      Select the “Employee Wages List” from the report menu.

 

 

3.      Select the “Date Range” for payslip generation. All the salary records which “Salary Date“ within the date range will be selected accordingly

 

 

4.      Click the [EE Filter] button to select employee(s).

 

 

5.      **Optional** You may select the specific project team (Available only if you have “Project” module) and salary profile type.

 

 

6.      Click the [Email] button to generate payslip.

 

 

7.      Fill in the email “subject” and “content” for batch email generation. Please note that both email “subject” and “content” cannot be empty.

 

 

8.      Click the [OK] button to start generate email(s) with payslip attached for the selected employees. All generated email(s) will NOT be sent out yet in this stage.

 

 

9.      All generated emails are shown on the screen. Check everything is correct including recipient address, subject, attachment, and total no. of emails. 

 

TIPS

Double-click on an email record to view its content and attachment.

       

       

10.  In case some emails you do not want to send out for any reason, select those email(s) and click the [Delete] button to remove them from the list.

 

 

11.  If everything is ok, click the [Send All] button and enter “EXECUTE” to start sending email one by one. Be patient during sending emails as some delay may occur depends on your SMTP server.

 

 

12.  Finish.
